Invoice and Document Control Administrator (F/T)

TECO-Westinghouse Motors (Canada) Inc., is seeking a dedicated Invoice and Document Control Administrator to join our team in Edmonton, Alberta. In this position, you'll play a crucial role in ensuring the smooth flow of our operations.

Your Responsibilities:

As our Invoice and Document Control Administrator, your primary focus will be on generating customer invoices and maintaining organization of documentation related to shipments. Your day-to-day tasks will include:

  • Efficient Invoicing: Using SAP, you will skillfully handle the invoicing of customer orders. This entails tasks such as data entry of serial numbers, scanning, merging PDF files, and archiving documents to MS SharePoint.
  • Document Management: You'll prepare, review, and maintain logistics files, reports, and databases pertaining to shipments, contributing to efficient record-keeping.
  • Logistics Coordination: You will be responsible for coordinating courier services for the outbound delivery of various packages and documents along with generating customs documents for international shipments. This role may require you to liaise with colleagues in different departments to ensure deadlines are met and customers are satisfied.
  • Accounts Payable Support: Review and code A/P invoices for payment, utilizing SharePoint and DocuSign for streamlined processes.
  • Office Supply Management: Taking a proactive approach, you'll assess and address office supply needs to ensure smooth operations.
  • Data Tracking: Stay on top of updating and entering freight carrier rates and tracking data for logistics analysis.
  • Administrative Duties: You'll serve as the welcoming face of our organization, greeting and directing visitors. Additionally, you'll handle office correspondence, payments, and maintain records, all while assisting with various other clerical tasks.

Qualifications and Skills:

To excel in this role, you'll need:

  • A high school diploma and minimum 2 years of relevant administrative experience (experience in SAP and MS SharePoint is advantageous).
  • Secondary schooling in a business administration discipline would be an advantage.
  • Proficiency in Microsoft Office applications; Outlook, Excel and Word.
  • Familiarity with administrative and clerical procedures.
  • Strong organizational skills and the ability to efficiently multitask to maintain our records.
  • Excellent interpersonal skills, enabling effective collaboration with colleagues at all levels of the company.
  • Exceptional written and verbal communication skills.
  • A team-oriented mindset, with a willingness to contribute positively to various tasks as needed.
