Electro-Federation Canada (EFC) is seeking a Full-Time Permanent Events & Program Coordinator in Etobicoke, ON.
Due to the nature of off-site event locations, access to a vehicle and a valid G driver’s license are required. Some overnight stays are required in Ontario and across Canada, including flights, for events and the annual National Conference, which is hosted in varying locations each year.
Normal hours of work for this position are Monday-Friday, 8:30-4:30 pm. However, due to the nature of the role, occasional work outside of these hours may be required, including early mornings, evenings and weekends.

The Events & Program Coordinator is responsible for supporting the association’s overall program initiatives. Reporting to the Director, National Events, the duties and responsibilities of the Events & Program Coordinator, include but are not limited to the following:
Creates registration details on event management platform (Cvent), logistical event preparation, inventory, and orders supplies;
Develops an event planning timeline covering logistical processes;
Responds to inquiries from members and non-members regarding event offerings, registrations, cancellations, and event related information;
Coordinates and oversees multiple programs and deliverables simultaneously, addressing challenges and adjusting priorities as needed to meet timelines and program objectives;
Prepares, packs, and coordinates shipment of materials and equipment for events and programs;
Provides registration support for all events, including the annual national conference, which is hosted in varying locations across Canada;
Coordinates logistics with venues, caterers, suppliers, and vendors to ensure smooth execution;
Proactively identities and addresses issues that arise during program planning and execution, developing alternative solutions to ensure smooth delivery;
Performs occasional errands and other event related tasks as needed to support event and program requirements;
Leads the EFC Women’s Network Ontario Region Committee, meetings, and events; and
Collaborates with the marketing team to ensure all program materials and communications comply with corporate branding guidelines.
Required qualifications:
The successful candidate will have:
High school diploma or equivalent, post-secondary education in a related field such as PR, Communications or Administration is an asset;
Valid G driver’s license and access to a reliable vehicle are required, candidates must be comfortable with travel across Canada, including flights and occasional overnight stays;
Minimum One (1) to Two (2) years’ experience in an event coordination, program support, or administrative role, with demonstrated experience providing professional customer service to internal and external stakeholders;
Strong problem solving, time management and organizational skills, with the ability to manage competing priorities and deadlines, in a dynamic, deadline driven environment;
Superior verbal and written communication skills, including strong editing and proofreading skills;
Strong attention to detail with the ability to produce accurate, clear, and well-organized materials and presentations;
Intermediate proficiency with Microsoft Office (i.e. Word, PowerPoint, Excel), experience with MS Dynamics, Constant Contact, Click Dimensions is considered an asset; and
Working knowledge of event management software (Cvent), is an asset.
