Position: Events Coordinator

Location: Toronto, Ontario

Employment Type: Full Time

 

Electro-Federation Canada is searching for an Events Coordinator. This position primarily encompasses 50% events coordination, 50% event and program administration. The Coordinator will assist the Director, National Events in supporting a multitude of programs and events throughout the year, including golf tournaments, national conference, seminars, gala, networking events and education seminars and forums. Reporting to the Director, National Events, the coordinator will primarily be responsible for the following key tasks:

 

Key responsibilities include, but are not limited to:

 

  • Develop an event planning timeline covering logistical processes.
  • Respond to inquiries from members and non-members regarding event offerings, registration, and event related information.
  • Create registration details on event management platform (Cvent), logistical event preparation, inventory, and ordering supplies.
  • Registration support for all events, including the annual national conference.
  • Ability to problem solve and time manage multiple programs and a variety of tasks simultaneously to ensure timely program execution.
  • Organize pack, load, or ship for event programs.
  • Work alongside with venues, caterers, suppliers, and related vendors.
  • Demonstrate resourcefulness and research, with occasional related errands to complete event requirements.
  • Collaborate with Marketing to ensure compliance of corporate branding guidelines, promotion of events and align with the department’s objectives.  


Required qualifications:
The successful candidate will have:

  • Professional customer service experience.
  • 1-2 years’ experience in an event management role, including office administration.
  • Due to the nature of the off-site event locations, access to a vehicle is required, plus a valid G driver’s license.
  • Ability to work well under pressure and meet set deadlines in accordance with project objectives.
  • Superior editing, verbal, and written communications skills.
  • Strong attention to detail with precise, accurate and clear presentation skills.
  • Proficiency with Microsoft Office (i.e. Word, PowerPoint, Excel, Teams, MS Dynamics, Constant Contact).
  • Excellent organizational skills and ability to manage multiple projects simultaneously.
  • Creative thinking and problem-solving abilities.
  • Working knowledge of event management software (Cvent), is an asset.
  • Proficient in French is an asset.
